Template Wizard

The Template Wizard is the fastest and easiest way to create PREFcard templates from your existing PREFcards.

Using the wizard will help you identify common items (gloves, gowns, instruments, etc) and notes (music, layout, positioning, etc). Once identified, the wizard will pull those items and notes into a new template, updating the associated PREFcards based on your selections.

All users with 'Edit' access can start the template wizard by going to 'PREFcards' and clicking the 'Actions' > 'Template Wizard'.

The first step of the wizard deals with details about the template you're creating. Give the template a name and select the associated surgeon.

If the template you're creating is not associated with any surgeon (like a PACU card), then don't select a surgeon. It's not a required field.

In the second step, you'll select some PREFcards to associate with the template you're creating. The PREFcards you select will be used in two ways.

First, they'll be updated to use the template you're creating now.

Second, their items and notes will be used in the following steps as you move items and notes to the template.

If you selected a surgeon as part of step 1, the selected PREFcards will default to all of that surgeon's existing PREFcards. If you didn't select a surgeon, other options will appear.

The next two steps will show you every item and note that exists on the PREFcards you selected. For each item and note, you'll have a number of actions you can perform. Each action's description is available at the top of the page under "Help with Actions".

  • No Action. This is the default action, and when selected, ignores the item/note completely. It will not be used in the template, and it will not be updated in the PREFcards.
  • Move to Template. The template will absorb this item/note in its entirety. You can override quantities and notes if you select this action. The PREFcards will be updated to rely solely on the template for this item, meaning whatever difference exists between the PREFcard and the template will be deleted.
  • Move & Keep Extra. This action is only for items. It's almost identical to 'Move to Template', except that any open/hold quantities in excess of the amount moved to the template will be kept on the card. For example, if you move 1/1 (open/hold) to the template, and a certain PREFcard has 2/2, then that PREFcard (and only that PREFcard) will rely on 1/1 from the template, and keep an additional 1/1 on the PREFcard itself, totaling 2/2.
  • Copy to Template. Copy the item/note to the template, but don't delete it from the PREFcards. This will leave duplicate items and notes that should be cleaned up after the wizard is finished. For example, if you had 1/1 (open/hold) gloves on a PREFcard, and you copy 1/1 to the template, then the card will now have 2/2 when used.
  • Delete. Delete this item/note from the PREFcard and don't import it to the template. Deleting items and notes is valuable if there's a PREFcard using the wrong item/note. You can 'Move to Template' the correct item, and 'Delete' the wrong items.

On the third step of the wizard, you'll see all the items from all the selected PREFcards, grouped by item and operating stage.

Each item has an action that defaults to 'No Action', as noted above. Any item you move or copy will be put into the template with the open/hold quantities and the custom note that you specify.

On this fourth step of the wizard, you'll see all the notes from all the selected PREFcards, grouped by title and operating stage.

Based on the consistency of your note naming, there may be fewer matches than the wizard indicates. For example, you may have a 'Prep/Positioning' note for every one of the PREFcards, but the contents of the note actually indicate a different prep that should occur. In those cases, it's best to either do No Action or Copy to Template and adjust as needed.

Once you've selected all the items and notes, you'll be taken to the confirmation page, which shows what the template will look like, once created. You can also see what each PREFcard will look like, once the wizard is finished.

To make the displayed changes, click 'Save All Changes'.
