Case Management & Usage
Case Management is a new feature that tracks all of the cases going through your hospital or surgery center. Cases can be created, searched, scheduled, and recorded.
Usage works with Case Management and allows you to record your actual item usage on every case.
Together, they enable you to track all surgeries, all items, all serial numbers, and all utilization in your facility.
There is a new menu item on the left for facility users called 'Cases'. This will be where you can create, schedule, and record usage for all your cases. Existing cases can be filtered by scheduled date or status.
Any cases past their scheduled date that haven't been recorded will be Overdue, and can be found as well. These overdue cases cannot be synced with any integration until recorded.
Each case has details about the procedure, surgeon, PREFcard, patient, CPT, and ICD-10 codes. From the 'View Case' screen, you can see all these details, print the associated PREFcards, view used items, schedule the case, and record the case.
As a case moves from newly created to scheduled to recorded, its status will change on the top of this page.
As the last step of a case, you'll record which items were used. Every item from the PREFcard, along with its appropriate open/hold counts, are presented for editing. The # Used defaults to the number of open items, but can easily be increased or decreased.
Items that weren't on the PREFcard can be added to the case down below.
All implantable items will be highlighted down below until you fill in the serial and lot information. This information can be filled in manually or by scanning a barcode with your phone, table, or webcam. Any unrecognized items that are scanned will be added to the card as additional items used.
The best barcodes to scan are the two-dimensional barcodes. This type of barcode can contain both GTINs (to identify the item used) as well as serial numbers, lot numbers, expiration dates, and a wealth of other information.
If you prefer, you can skip the case management screens altogether. When viewing a PREFcard, there is a new option to 'Record Usage'. This action will create a new case under the scenes, and take you straight to the screen to record usage.
Under the covers, a case is created and stored so that you can track it at a later date.
