Verified Items

Verified Items help inventory managers fill in data about the items in their inventory. The information in these items has been verified by manufacturers and distributors, and includes: item name, MSRP, part #, manufacturer, GTIN (barcode), unit of use, packaging, and any images.

Using verified items is the fastest and easiest way to fill in your facility's inventory with accurate information that is automatically updated.

While all the information in this updated database has been verified, there is still an ability for inventory managers to enter overrides for facility-specific values. Overrides exist for name, cost, status, and reference #. On every page and in every PREFcard, we will use your overrides if specified.

For example, if you specify cost on an item (overriding MSRP), then on all cards, and in all reports, we will use your cost instead of the MSRP. Similarly, for all items where you specify a name override (a nickname), we will use that nickname instead of (or sometimes in addition to) the actual item name.

Verified item overrides allow you to use PREFcards like you were using it before, but fills in the cracks where item information was lacking.

Verifying your existing items must be done manually in most cases. To verify items:

  1. Inventory managers go to 'Inventory' in the navigation
  2. Clickthe verify (/) button to search for verified items
  3. Search for the verified item. Searching by less information is typically better, we recommend searching by part number first - part numbers tend to be unique enough.
  4. Once you have found the matching verified item, click 'Verify Item'.
  5. The last step is to enter or erase any overrides, which can be done by following the instructions in the form that pops up.To help identify which items are unverified, we've introduced a new filter on the inventory screen. Now, you can filter your inventory by:
    Unverified - (List only the items that are not verified),
    Unused (List only the items that are not used on any PREFcard), and
    Unapproved (List only the items that have not yet been approved)
  6. A new CSV download option has also been added to the inventory management screen. 'Download CSV' will download all items on all pages of your inventory, regardless of the current filter applied to the table. The resultant CSV may be opened by Excel or similar applications.

Many verified items contain GTINs which enable barcode scanning from the application. At the moment, barcode scanning can be used when creating or verifying items. All webcams, cameras, tablets, and phones work with the barcode scanner.

In the near future, you'll also be able to scan a set of barcodes to create a PREFcard and to record item usage.

All users will still be able to create new, unverified items. Unverified items won't be automatically updated, won't have images, and won't be scannable by a barcode scanner. These kinds of items are good for custom packs or other unlisted items.
